Notices are a form of formal communication used to inform a person or group of people about an event, announcement, invitation, or any such important piece of information. It is generally directed towards a set audience, to inform them regarding a happening or to make an announcement.

 Notices are brief and concise pieces of information, pertaining to only relevant information for the readers. They are written using formal tone and language, used for giving out a piece of formal information. Notices are used as the source of spreading information in offices, schools, government departments, and all other formal places.

Elements of notice writing

  • Title-  A title stating ‘NOTICE’ is a must when writing a notice. It should be placed at the top center, to indicate that it is a formal announcement.
  • Name of the organization- It is vital to add the name of the organization responsible for writing the notice. Your readers must know by whom the notice is being written.
  • Date- It is also one of the most important parts of a notice. Every formal as well as informal means of information must have a date, which helps to save it as a record.
  • Heading - It informs readers about the motive of writing the notice. It states the reason for writing the notice in a sentence, so that readers would further read it, considering it important.
  • Body - Now, this part consists of all the details regarding the announcement. It answers all the 5 Ws and H (What, Why, When, Where, Who, and How). Any information that a receiver might need about the announcement, is present here, in this section. The body should be kept short and concise, it should entail only relevant and important pieces of information.
  • Name and designation of the issuer - The concerned person responsible for writing the notice and his/her designation is also an important element of a notice. It depicts the seriousness and importance of the notice.  
  • Signature - A signature at the end of the notice from the issuer makes the notice altogether more important, serious, authentic, and relevant.

Types of notice writing

  • Public notice- It is issued by companies and the government for the general public. It is sent out to the public to inform people about any occasion, mishappening, updates, or any such public concerning important information.
  • Implied notice- This notice is written for the general public when there is a requirement for immediate action on something.
  • Actual notice - This type of notice is used to issue guidelines, instructions, rules, and regulations.
  • Constructive notice - It is sent out to companies and their employees in case of any mishappening from their side. It also informs companies and employees about their operational policies.

Salutation : A general notice lays out for whom the notice is being written.

Notice writing format for students of Class 10 and 12 is present below. Notices written in schools are different from the ones used in the real world, because of the subject on which a notice is being issued. Notice writing is an integral part of English writing comprehension as well as almost every board’s English syllabus. Because of this reason, notice writing can be found to be a very common writing comprehension test in thousands of schools’ question papers. But due to some unknown reason, many students find it quite difficult to write a proper flawless notice and often choose to skip it. Even during the last year, we got many such comments where students have expressed their inability to understand notice writing. 

After analyzing those comments we have come to a conclusion that there are some serious flaws in the overall approach to understanding notice writing. We often try to understand writing comprehension directly with exemplary models. But I must say, this shouldn’t be an approach. Look, to understand anything, especially writing comprehension, we need a strong foundation laid by the definitions, classifications, and other basic elements that are required to write that comprehension. That is exactly what many students are lacking most of the time. 

My dear students, I would like to tell you that you can easily score good marks in notice writings by simply following a prescribed format. In fact, notices are one of the easiest writing comprehension skills if you understand them properly. That’s why, today we have decided to come up with a comprehensive guide that will help you to understand all the required elements you need to know to write a proper notice. What is Notice Writing?

As the title suggests, notices are a way to notify people regarding something. It may be about some event or some information that people should be aware of. According to many experts, notice writing is nothing but a formal document for communication with a specific audience.

Importance of Notice Writing

Unlike letters or essay writings, notice writing has an enormous value in real life. In fact, notices are one of the integral parts of our social life. We go through some kinds of notices almost everyday. Here you might be wondering how. All kinds of formally organized statements that notify you about information of some event on behalf of some authority, is a notice.  So, I hope you are quite understanding the applicational value of notices. 

Now, someone has to write all those notices, right? After going to your workplace, that ‘someone’ might be you. In fact, according to a survey, 75% of working people have to write notices more than three times irrespective of the sector they are working in. So, there’s as high as 75% chance that you also have to write a notice at least once for some real-life application. 

Due to this enormous importance, almost all school boards around the world include notice writing within their writing comprehension syllabus. So for now, if you are not so bothered about the applicational value, still you have to learn to notice writing properly if you want to score well on your exam. 

Keep in Mind

There are a few things that you have to keep in mind before you start learning to notice writing. 

The very first thing is you have to write the notice for the audience you are addressing and the issue you are addressing about. Your notice is not an essay. So, maintaining a proper word limit and keeping your notice short will make your write up more efficient and effective. Always remember, you have to summarize all the information within limited words along with maintaining a simple approach. 

So, a simple rule of notice writing is: Only write necessary information without any descriptive words. 

As you are writing for a mass audience, you must keep the overall writing approach simple yet very formal. Along with this, all kinds of notices must be written in proper formats. 

Types of Notice Writing

Just like report writing, notices can also be classified into a few types. Slightly different approaches should be maintained to write each type of notice to serve the targeted purpose properly.  That’s why before learning to write notices it is very important to learn about the type of notices. 

There are mainly 4 kinds of notices generally written in our day-to-day life. These are Public notice, Constructive notice, Actual Notice, and Implied notice.  Among these four types of notices only Public notice and Implied notice come under most of the boards’ syllabus. But nowadays, some boards are including Actual notice in their syllabus. So, let’s discuss the types of notices briefly one by one. 

Public Notice

Public notice is the most common type of notice written in our day-to-day life. Basically, if any organization or authority issues a notice for all the people of society, it is known as a public notice. This type of notice is a mere way of letting people know about some events, some rules and regulations, or asking public opinion etc. We often see this type of notices on the internet, in newspapers, and in other public media. For example, if the sports club of your locality issues a notice for the annual sports competition in a newspaper, it will be considered as a public notice.  

Actual Notice

Actual notice is generally written as a legal mode of communication with a person or organisation. It is a method of letting a person or organisation know about some specific guidelines, procedures to follow or maybe instructions to obey that are bound by law. Actual notice is generally used in civil judicial procedures or maybe in one-to-one communication. Suppose, a person deserves an honour or award from an organisation or maybe the government. In this situation, the government will issue an actual notice to notify that person about it. This is why actual notice has less real-life value compared to the other type of notices. 

Implied Notice

Implied notices are simply that type of notice in which people are called for real-time action. This type of notices is not written directly to a person or a group or an organisation. Rather implied notices are applicable for everybody who is witnessing the notice except the issuing authority. Little confused? Look, the notices you often see on the roads like ‘NO ENTRY’, ‘Trespassers Will Be Prosecuted’, etc not written for any specific individual. These are examples of Implied notice. 

Constructive Notice

A person has constructive notice of all facts of which he would have acquired actual notice had he made those enquiries which he ought reasonably to have made. Confused again? No worry. Though it’s not important from your exam perspective still I’m giving an example to understand constructive notice more easily. 

Suppose you live in a house and pay rent for it. One day you suddenly notice that there are some major flaws in the plumbing system of the property. In that situation, you issue a notice to the owner of the house explaining your problem, asking for the reason for this problem, and asking for a solution. This type of notices will be considered a constructive notice. 

Format of Notice Writing

Before directly jumping into the format, let’s closely understand the required elements for notice writing. The following elements are necessary to write a proper notice from the beginning to the end irrespective of the type of notice. 

1. All kinds of notices primarily begin with the name of the authority/organisation that is issuing the notice. The name of the issuing authority provides the notice with the required authenticity. So, irrespective of the type, it’s one of the most important parts of notice writing. 

2. Again for all kinds of notices it is quite mandatory to mention the word ‘NOTICE’ in block letters at the very centre of the line. This mention helps the rest of the document to attract the required public attention. As the main body of the notice is supposed to be very brief, it’s mandatory to categorize the document as a notice at the very beginning of it. 

3. Now the date of issuing the notice must be mentioned on the left side of the document. This date is mandatory for all kinds of notices except implied notice. As the significance of Implied Notice does not depend anyway on a date, it’s okay to not mention it. 

4. Now comes the heading of the notice. So, you should always use an appropriate heading for the notice you’re writing. Now you might be confused about ‘Appropriate heading’. Look, an appropriate heading should be very short and crisp despite explaining the primary motive for writing the notice.

Like if you are writing a notice for an inter-school debate competition organised by your school on the occasion of Republic Day, the appropriate heading will be ‘Inter-school debate competition on Republic Day.’

5. Now comes the most important part of notice that is the body. A body of notice consists of four different elements. These are (1) the reason for writing the notice, (2) Relevant events and occasional information, (3) Information about the date, time and venue, (4) All additional information if required. The sentences of the body should be in passive voice and very short yet simple. All necessary information should be piled up within a limited word limit. 

6. After finishing the body you have come to the ending part of the report. At the end of any notice, there should be the signature, name and designation of the issuing authority promptly mentioned. 

The Body of a Notice

As mentioned earlier, the body is the most important part of any notice. According to the comments we got, most of the students often get confused about what they should write in a notice’s body. That’s why this separate discussion on it became a priority. 

An ideal notice body should contain answers to five straight questions(if applicable) that would come to the readers’ minds just after getting the main subject of the notice. This formula is known as the 5W principle of notice writing. 

#1 What is going to happen. Or exactly for what the notice has been issued. This is the very first query that would come to the readers’ minds. That’s why you should answer it first in your notice body.

#2 Where is the venue. If a venue is applicable for your notice, then you should mention it as early as possible in the body.

#3 When it is going to take place. If you are writing a notice for any program or ceremony then it’s mandatory to mention the time and date of the program. Otherwise, that notice would not be considered as a complete notifying document. 

#4 Who is eligible. No matter what type of notice you’re writing, if you are calling your audience for any kind of action you must mention who is eligible or who is not eligible. 

#5 Whom to contact. All types of notice should mention whom should a person contact for any further information regarding the context. It’s usually mentioned at the ending of the body.

Dos and Don’ts

There are certain points that help to add value to your notice and some points that need to be avoided while writing a notice. 

  • Always write your notice inside a box. It gives your notice a more professional look and helps you to score well. 
  • Always write the notice in passive voice.
  • Keep the sentences short and simple.
  • Always maintain a formal tone throughout the entire notice. 
  • Follow the format strictly. 
  • Always make your heading as catchy as possible. 
  • Always follow the 5W principle. 
  • Be as brief as possible with your notice. Try to fit all the information within the word limit. Always remember, your job is just to notify, not to explain.
  • Always avoid using repetitive words. The info you once mentioned, do not mention that further. If you are running out of words, conclude it. 
  • Don’t use personal pronouns in your notice. (Ex: I, Me, You, etc.)
  • Always avoid putting any extra information in the notice. 

For a holistic understanding, I am going to write two different types of notice as examples. Hopefully, after reading them properly, you will clearly understand the entire concept of notice writing.

Your housing society is going to organise a blood donation camp by next month. As the secretary of the committee draft a notice informing all residents of the housing complex about this event within not more than 50 words.

  • Name of the Organisation – The first thing to write is the name of the organisation/school/college from where the notice is being issued. This will help people identify who has published or put out the notice.
  • Title – The title for any notice writing is the word “Notice” itself. This is to let the readers know that they are about to read a ‘Notice’.
  • Date – The next important thing that students must keep in mind while drafting the notice is to write the date. The date is written in the left corner of the notice. The date helps the readers to understand when the notice was issued. Writing dates also helps to use it as a reference for future use.
  • Heading – The heading of the notice refers to the subject of the notice. In the heading, the students have to write briefly about what the notice is about. This helps the readers to have an idea about what the notice might consist of.
  • Body – The body contains the main content of the notice. But one must keep in mind that the body of the notice should be kept short and informative. Only necessary information would be written in the body, which is usually written in passive voice.
  • Signature and Designation – The notice ends with the signature of the person who composes the notice and their designation (in capital letters). It helps the readers to understand who has issued the notice.

  • No details – Notice writing is not about details but about the exact information you need the readers to know. While writing a notice, one must always keep it short yet informative.
  • Correct Heading – Since the notice is meant for a large audience, it’s important that they understand what the notice is about. For that, the writer has to wisely choose the notice’s heading.
  • Format – It is very crucial that the writer maintains the format of the notice. Make sure you use a large font size for the name of the organisation (probably 14), a smaller font for the next two lines containing the term ‘notice’ and what the notice is about. However, advancements in modern technology have enabled notices to move from notice boards to digital platforms such as websites, texts and emails. However, the process of writing a notice has remained relatively unchanged. In this article we have discussed on Format, Template, Examples and Topics of Notice Writing in English.

Apart from the traditional sense, notice is also a concept that has legal implications and is often used in the context of laws (such as legal notice, actual notice, constructive notice etc.) However, we shall explore the concept of “notice” from an educational perspective. In this article, we shall take a look at how to draft notices, important guidelines and crucial tips. Furthermore, we shall explore situations that warrant use of a notice. Also, we will take a look at the parts or elements that make up a notice.

Notice Writing – Important Tips and Guidelines

Following are a few important tips and guidelines when writing a notice:

  • The title must clearly mention “Notice” in caps
  • The name of the organisation that issues the notice must be mentioned
  • A short heading must also be included. It must be indicative of the content to be mentioned
  • The date must also be mentioned
  • The body of the notice must briefly state the purpose of the notice, its conditions, relevant information or other details. Moreover, it must be concise, yet comprehensive.
  • The notice must end with the name, sign and designation of the writer/ person-in-charge of issuing the notice.
  • Other details – such as the date of the event, place of the event, eligibility, process or other details must not be omitted. Ideally, the reader must understand what the notice is about at first glance. and then plan a course of action (if required).
  • Lastly, proofread the draft for spelling or grammatical mistakes. Also, ensure that the contents of the notice is unambiguous.

What is the report format?

The format of the report depends upon the type of report and the assignment criteria. Although each report has its structure, the basic template is the same:

  • In the beginning , there should be a summary of the report so that the readers can make out what will be in the report. The summary of the report increases the interest of the readers.
  • Introduction of the Report:  The introduction of the report should be self-explanatory of the report and should explain what you’re about to explain.
  • Body of report:  The body of the report should explain all major happenings. There should be headings and subheadings. It explains the whole event in detail. The introduction and conclusion contain one or two paragraphs, while the body may have more pages.
  • After  a report, the reporter brings all of the facts in the report together and reaches a final interpretation or judgment.

What can be included in report writing?

There is no hard and fast rule about what should be included in a report, especially at the school level. We can create our format at our convenience. But still, we can include the following in report writing:

  • Generally, a report’s title is used if a person has to read multiple reports. In this way, he can easily make out which report is useful for him.
  • A table of contents can be used if the report is lean and has more than four subheadings.
  • Page numbering can be included in the report has more than one page. But for students, it is generally not required as they are writing a small report for the examination.
  • Headings and subheadings should be used as they help us when skimming or scanning. They make it easy for the reader to understand the facts easily.
  • If we used information from other articles, we must include references and quotations. We should always give credit to others’ written work if we used it to complete our report.

Various cultural events and competitions were held. The programme began with a speech on Children’s Day by Mansi, a class 12 student. A student of class 5 recited a poem on Children’s Day. Class 11 students performed Haryanvi dance as part of a cultural program. It was an excellent cultural programme.

Numerous cultural competitions and events were held. Mansi, a class 12 student, gave a speech about Children’s Day to start the performance. A fifth-grade kid read a poem on Children’s Day. A Haryanvi dance was performed by class 11 pupils as part of a cultural presentation. Excellent cultural programming was provided.

The principal and the special guest gave speeches to the students at the end of the Children’s Day programme to inform them of the significance of the holiday. The N.S.S. in-charge gave the pupils candy as a way to wrap up the session.

My brother travelled here recently on a volunteer program and he had the worst experience ever!!! The people are very racist. He is brown skinned and people here dont like them! He was once trvaelling by bus and was asked by a lady who entered the bus after him to give up his seat. Mind you nor was he sitting on a seat reserved for women/elderly and nor was she old. And there were orther locals on the bus with him and he was th eonly one asked to get up. In another instance the storekeeper would not ring him up at the cash register and kept him wiating until the locals were attended to. All in all he said its a very messed up place and he was back in a week as opposed to a month of volunteering. So people please do not go here!!!!

I feel genuinely sorry for your brother but I cannot believe it was all that bad. Yes there do happen isolated acts of racism all around Russia, but writing off a whole city as racist is a bit over the board.

There are no seats "reserved for women/elderly" in Russian buses but it's considered common courtesy for younger people to give up a seat to a lady. Maybe your brother was just sitting the closest to the lady or was the youngest-looking?

When somebody believes that any mishap that happens to him is because of the colour of his skin, this makes the whole world look racist and sad.

My brother also works in Novosibirsk, and finds that the idea of "service " which we expect in a store is sometimes lacking there. However, as to the issue of the bus, it has been the custom in Australia, as, obviously, in Novosibirsk, that young men give up their seat to women or elderly men. This custom seems to be diminishing in the days of equal opportunity. However, I am in my fifties and if I should ever travel on a crowded tram or train, one or two young men will always jump up to offer a seat, which I decline, at the same time thanking them profusely for their courtesy. However, should a lady ask for a seat, many people would offer her one, assuming that she is perhaps not feeling well. I am surprised to find that this is not the custom also in Chicago. Maybe I won't visit there.

History of Novosibirsk Oblast

Over thousands of years, the territory of the Novosibirsk region, due to its location on the border of natural zones and cultural regions (the Siberian taiga and the Eurasian steppe), played the role of a buffer zone or border zone of different peoples.

In the 13th-15th centuries, this land was the eastern outskirts of the Golden Horde. Later, until the end of the 16th century, it was part of the Siberian Khanate. In the 18th century, the territory of the present Novosibirsk region became part of the Russian Empire.

Despite the relatively favorable climate, the Russians began to settle here relatively late. The Barabin Tatars were the indigenous people. Today, their total population is about 10,000 people living mainly in the western parts of the region.

The Barabin Tatars were subjected to constant attacks of the Kalmyks (the Oyrates and Teleuts). Russian villages were also under the threat. That’s why people preferred to settle in the north, near Tomsk. Only at the end of the 17th century, Novosibirsk province became attractive to settlers.

More Historical Facts…

The first settlement was founded by the boyar son Alexey Kruglik in 1695. Later, this settlement became the village of Kruglikovo. Today, it is located in Bolotninsky district. In the early 18th century, Berdsky stockaded town was built. Over time, the threat from the nomads decreased and the number of settlers increased.

In 1722, the Siberian line of fortresses along the Irtysh River was constructed. The locals were mainly engaged in soil tilling, fishing and hunting. In the early 19th century, the famous Ural manufacturer Akinfiy Demidov constructed two copper melting plants here - Kolyvansky and Barnaulsky.

In 1893, due to the construction of the Trans-Siberian Railway and the railway bridge across the Ob River, Alexandrovsky settlement was built (from 1895 - Novonikolayevsky). Thanks to its convenient geographical location (the Trans-Siberian Railway crossing the Ob River, transportation ways connecting Siberia with the European part of the Russian Empire), its trade importance grew rapidly. In 1909, Novonikolayevsk became a town. In 1925, it was renamed in Novosibirsk.

Before 1921, the territory of Novosibirsk oblast was part of Tomsk gubernia, from 1921 to 1925 - of Novonikolayevsk gubernia, from 1925 to 1930 - of Siberian krai, from 1930 to 1937 - of West Siberian krai. September 28, 1937, West Siberian krai was divided into Novosibirsk oblast and Altay krai. This date is considered the official date of the region formation.

Novosibirsk Oblast - Features

Novosibirsk Oblast is located in the south east of the East-Siberian Plain, in the steppe, forest-steppe and taiga zones, between the Ob and the Irtysh rivers. The length of the region from west to east - 642 km, from north to south - 444 km.

The southern part of Vasyugan swamp, the largest swamp in the world, occupies the territory in the north and north-west of the province. In the southwest, it borders with Pavlodar oblast of Kazakhstan.

There are about 3,000 lakes on the territory of the Novosibirsk region. The largest lakes are Chany, Ubinskoye, Sartlan. Novosibirsk Reservoir also known as “the Ob Sea” (1,082 sq. km.) was created for Novosibirsk Hydroelectric Power Plant.

The climate is continental. The average temperature in January ranges from minus 16 degrees Celsius in the south and minus 20 degrees Celsius in the north. The average temperature in July - plus 18-20 degrees Celsius.

The largest cities and towns are Novosibirsk (1,621,000), Berdsk (103,500), Iskitim (54,700), Kuybishev (43,000). Novosibirsk is one the largest industrial, transport, scientific, and cultural center of Russia, the third most populous city in the country after Moscow and St. Petersburg. It is also the capital of the Siberian Federal District.

In the historical part of Novosibirsk you can find a lot of preserved monuments of the Russian Empire times. The Soviet era is presented by numerous scientific and cultural attractions, as well as beautiful parks.

There are more than 500 deposits of various mineral resources in Novosibirsk Oblast (coal, refractory clay, peat, anthracite). Natural gas and oil fields are located in the north-western part of the region. There are significant reserves of underground thermal and mineral waters. Forests cover about 4 million hectares, more than 20% of the territory.

Novosibirsk Oblast is one of the most industrially developed regions in Siberia (metal processing and machine building, food, power engineering, non-ferrous metallurgy industries). Heavy industries are concentrated in Novosibirsk, Iskitim and Berdsk.

The regional agriculture specializes in the cultivation of grain, potatoes and vegetables. Dairy cattle breeding, poultry farming and beekeeping are developed. The production of flax plays an important role too. Agricultural development of the territory is not high (about 48%). In general, it has about 25% of all agricultural land in Western Siberia.
